How It Works

After every internal meeting, the Meeting to Action System processes the recording or transcript. It extracts every committed action item, assigns it to the person who committed to it, infers or assigns a deadline, and creates a task in your project management tool. A summary with action items is sent to all attendees automatically. Incomplete action items from prior meetings resurface at the next related meeting.

Implementation Notes

Meeting recordings come from Zoom, Google Meet, or Microsoft Teams via cloud recording storage or native bot joiners (Fireflies.ai, Otter.ai, or MeetGeek). Transcripts process through an extraction pipeline that identifies: action items as commitments with a verb plus owner reference plus implicit or explicit deadline, decisions made in the meeting as agreed-upon outcomes, and open questions that were not resolved and need a follow-up. Action items write to the configured project management tool via API: ClickUp, Asana, Linear, Notion, or Monday. Task records include the direct transcript quote that generated the action item, the meeting context, the assigned owner, and the deadline. The meeting summary email or Slack message includes: a one-paragraph meeting overview, the full action item list with owner and due date, decisions logged, and open questions outstanding. Prior incomplete items are tracked against the meeting series (defined by recurring meeting title or participant set) and prepended to the next meeting's summary. Processing time per meeting is typically 45 to 90 seconds after transcript is available. Average API cost per meeting is $0.07 to $0.18 depending on meeting length. Prerequisites: a meeting recording solution with transcript output and a project management tool with API write access.
