Implementation Notes

Trigger sources include HRIS systems (BambooHR, Rippling, or Workday) for employee onboarding and CRM or e-signature platforms (Salesforce, HubSpot, DocuSign, or PandaDoc) for client onboarding. The orchestrator creates a complete task set in your project management tool (ClickUp, Asana, or Monday) with due dates calculated from the start date. Communications deliver via email and Slack on a configured schedule: welcome email on day 0, first tool access confirmation on day 1, day 3 check-in, week 1 orientation summary, and bi-weekly check-ins through week 4. Internal teams (IT for access provisioning, HR for paperwork, the manager for day-1 agenda) receive their task assignments automatically with due dates. Task completion tracking queries the project management tool API daily; overdue tasks generate a Slack escalation to the onboarding coordinator with the specific item, the assigned owner, and the number of days overdue. Onboarding completion rate, time-to-productivity metrics (tracked via a 30/60/90 day survey), and common bottleneck patterns surface in a monthly dashboard. New hire and new client flows are independently configurable with separate task templates.
